- Overview
The Master of Ceremonies (MC) plays a pivotal role in ensuring the smooth flow, professionalism, and engagement of the national awards event. This Terms of Reference outlines the responsibilities, qualifications, and expectations for the MC to deliver an outstanding experience for attendees, participants, and stakeholders.
- Event Details
- Event Name: National Awards under the Home Equals Campaign
- Date: Friday, 31st January 2025
- Location: TBD but within Kampala
- Duration: 5:00PM to 10:00pm
- Audience: High-profile dignitaries, award nominees, HFHU BOD, corporate representatives, sponsors, media, and general public.
- Scope of Work
The MC will oversee the event program, ensuring adherence to the schedule, maintaining energy and professionalism, and engaging the audience throughout the event. Specific duties include:
Pre-Event Duties
i) Preparation and Familiarization:
- Review the event agenda and script in collaboration with the event organizer.
- Familiarize themselves with key stakeholders, including award nominees, sponsors, and dignitaries.
- Attend briefing sessions and rehearsals to ensure clarity of roles and flow.
ii) Coordination:
- Coordinate with event staff, technical teams, and support personnel to understand logistics, transitions, and cues.
- Provide input on script adjustments, if needed, to enhance delivery and timing.
During the Event
i) Opening the Event:
- Welcome attendees warmly and set the tone of the event.
- Introduce the theme, purpose, and significance of the awards.
ii) Managing Transitions:
- Ensure seamless transitions between different segments of the program, including performances, speeches, and awards presentations.
- Keep the audience engaged during breaks or delays, as required.
iii) Engagement:
- Use humour, anecdotes, and interactive elements to maintain audience interest.
- Adapt to unforeseen situations with grace and professionalism.
iv) Introducing Speakers and Awardees:
- Announce speakers, performers, and awardees accurately, providing brief and relevant introductions.
- Maintain protocol while acknowledging sponsors, dignitaries, and key stakeholders.
v) Time Management:
- Keep the program running on time by tactfully managing overruns or delays.
- Liaise with the event coordinator for real-time adjustments.
vi) Closing the Event:
- Conclude the event with a summary of key highlights and a note of gratitude to stakeholders and attendees.
- Direct attendees to any post-event activities or provide closing announcements.
Post-Event Duties
i) Feedback:
- Participate in debriefing sessions to provide feedback on event proceedings.
- Share insights to improve future events.
- Deliverables
- A polished and engaging event delivery that aligns with the theme and objectives.
- Coordination with the event team for a seamless experience.
- Positive feedback from stakeholders and attendees.
- Qualifications
The MC must possess the following qualifications and skills:
- Proven experience as an MC for high-profile events, preferably national or international in scale.
- Exceptional communication and public speaking skills.
- Ability to adapt to diverse audiences and maintain energy throughout long events.
- Strong organizational and time management skills.
- Knowledge of event protocols, especially for formal and high-stakes occasions.
- Professional demeanor, with the ability to remain composed under pressure.
- Contract Duration
The MC’s engagement will be for one day January 31, from 5:00 pm to 9:00 pm but will include preparatory consultations on phone or mail.
- Reporting and Accountability
The MC will report to the Event Coordinator or a designated representative. They are expected to:
- Attend all required preparatory meetings and rehearsals.
- Provide regular updates on progress during preparation.
- Adhere to the agreed script and timelines during the event.
- Remuneration
- Compensation will be determined based on the MC’s experience and the event’s budget inclusive all costs incurred by the service provider.
- Confidentiality
The MC must maintain confidentiality regarding any sensitive information about the event, its participants, or stakeholders.
- Application and Selection
Interested candidates should submit:
- A detailed resume highlighting relevant experience.
- Samples or videos of previous events hosted.
- References from past clients or event organizers.
- Availability for the event dates and preparatory sessions.
The selection will be based on experience, presentation skills, and alignment with the event’s tone
and objectives.
